Project overview

RKR Water Suppliers is a water supply business based in Ganapathy, Coimbatore. It specializes in RO water purification and distributes purified water by tanker lorry across Tamil Nadu. With several vehicles and vendors involved, the business had to keep accurate records of deliveries, water quality and monthly billing. To simplify operations and reduce manual effort, it asked RuteAppz to develop a tailored offline desktop application.

Business challenges

Running a tanker-based water business involves a lot of records that have to agree with each other:

  • Limited connectivity. The plant operates in areas with limited internet connectivity, so the system had to work offline.
  • Vehicles and vendors. Records were needed for each tanker, its delivery destinations and the vendors it supplied.
  • Water quality. The quality of the water supplied had to be documented and linked to specific deliveries.
  • Monthly billing. Bills depend on the total quantity delivered and on each vendor's own pricing.
  • Manual errors. Paper-based record keeping led to errors and inefficiencies.

The RuteAppz solution

RuteAppz developed a custom desktop application shaped around how the business works. It runs without an internet connection, replaces paper records with structured data entry, and automates the monthly billing calculation. Vehicle and delivery records, water-quality logs and vendor profiles live in one application, and the reports and billing summaries are produced from the same data.

Features

What RuteAppz built

  • Vehicle records

Details of each tanker lorry, including vehicle numbers and delivery schedules.

  • Delivery tracking

The quantity of water delivered and the delivery point for each trip.

  • Water-quality logs

Quality data stored for each batch and delivery.

  • Vendor profiles

Contact information and pricing agreements for each vendor.

  • Automated billing

Monthly bills from the total quantity delivered and predefined pricing structures.

  • Reports

Delivery reports and vendor-specific billing summaries.

  • Offline operation

A standalone application that works without an internet connection.

  • Local data storage

Data is stored locally, so it stays accessible without cloud connectivity.

How the application fits together

The diagram below follows the documented features: vehicles and deliveries are recorded, quality is documented against deliveries and vendors, vendor pricing drives the monthly bill, and reports are produced from the stored records. All of it runs offline.

Workflow diagram of the offline water supply application: vehicles and deliveries are recorded, water quality is documented and linked to vendors, vendor profiles hold pricing, monthly bills are calculated from quantities, and reports are produced, all running offline.

Vehicle and tanker management

The application keeps a record for each tanker lorry, including its vehicle number and delivery schedule. For every trip it records the quantity of water delivered and the delivery point. Together these records replace paper delivery notes and give the business a single place to see which vehicle delivered how much water, and where.

Water-quality records

Water-quality data is stored for each batch and each delivery, and it is linked to the vendor concerned, so the quality of what was supplied can be traced back to a specific delivery. The application documents quality information that the business records; it does not test water, guarantee that water is safe to drink or certify regulatory compliance.

Vendor management

Each vendor has an individual profile that holds contact information and the pricing agreement for that vendor. Because pricing is stored per vendor, the same delivery data can be billed correctly for each of them, and a vendor's records and billing summary can be reviewed on their own.

Monthly billing

At the end of the month, the application calculates each vendor's bill from the total quantity of water delivered and the predefined pricing structure. It then provides a vendor-specific billing summary that makes reconciliation and payment easier. The source describes quantity-based calculation only; no tax, GST, payment-gateway or accounting integration is described or claimed.

Offline operation

The application is a standalone desktop program designed to work entirely without an internet connection, which suits a plant in an area with limited connectivity. Data is stored locally, so it remains accessible without relying on the cloud. The source does not describe cloud synchronization, automatic backups, encryption or multi-device access, so none of those are claimed.

Reporting

The application generates delivery reports covering deliveries, quantities and water quality, and vendor-specific billing summaries for reconciliation. Reports are produced from the same records that staff enter day to day, so the figures in a report and the underlying records stay consistent.

Technology and scope

The project was delivered as a custom offline desktop application with local data storage. The source material does not specify the development framework, programming language, database engine, supported operating systems or installer format, so none of these are listed.

Capabilities and intended business benefits

What the application was built to provide

  • Vehicle, delivery and delivery-point records.
  • Water-quality documentation linked to deliveries and vendors.
  • Vendor profiles with contact information and pricing agreements.
  • Monthly billing calculated from quantities and vendor pricing.
  • Delivery reports and vendor billing summaries.
  • Fully offline operation with local data storage.

Intended business benefits

  • More organized, centralized record keeping in place of paper.
  • Less manual calculation at billing time.
  • Better visibility of deliveries and billing.
  • Continuity of operations where internet access is limited.

These are the outcomes the application was designed to support. No measurements have been supplied for publication, so this case study makes no claims about time saved, accuracy rates, vendor satisfaction or revenue. The cover image is promotional concept artwork, and the vehicle numbers, vendor names and amounts it shows are samples, not real records.
